Position Details:
  • Type: Temporary. - Per Diem
  • Shifts: 8, 10 and 12-hour shifts, Day shifts some weekends.
  • Availability: Must be fully available to work long hours.
  • Work Location: On-site.

Job Overview: 
The Receptionist plays a vital role in shaping the organization’s public image by delivering professional, patient, and compassionate service to callers and visitors. This role is responsible for handling a multi-line switchboard, greeting and directing guests, and supporting general office and administrative functions to ensure smooth daily operations. The ideal candidate is composed, detail-oriented, and able to manage multiple tasks simultaneously with minimal supervision.

Essential Duties and Responsibilities:
  • Answer and expedite all incoming telephone calls and respond to general caller inquiries (e.g., driving directions, hours of operation, services offered).
  • Ensure that visitors feel welcomed, registered, and properly directed to the appropriate person or department.
  • Process outgoing mail and maintain the in-house postage meter; sort and distribute incoming mail, including photocopying.
  • File and maintain business office records, including accounts payable and receivable, purchase orders, and other correspondence.
  • Assist with routine office tasks to support overall office efficiency and professionalism.
  • Maintain a positive, professional demeanor in all interactions with callers and visitors; prioritize calls and tasks effectively.
  • Manage multiple duties on a multi-line switchboard and coordinate with other staff as needed.
  • Contribute to the organization’s public image through courteous, accurate, and timely service.

Qualifications:
  • Education: High school diploma or equivalent required; associate degree or administrative coursework preferred.
  • Experience: Prior experience in an administrative, receptionist, or customer service role is preferred.
  • Skills:
    • Strong verbal and written communication abilities.
    • Excellent interpersonal skills and a professional, patient demeanor.
    • Ability to work independently with minimal supervision and manage multiple tasks simultaneously.
    • Proficient in basic office software (e.g., MS Office) and general office equipment (phones, fax, copier, scanner).
    • Good organizational and time-management skills; attention to detail.
  • Customer service orientation with a commitment to providing high-quality service.
  • Ability to maintain confidentiality and exercise professional judgment as required.

Physical Requirements:
  • Prolonged periods of sitting and speaking on the phone.
  • Data entry and routine office tasks.
  • Occasional bending, pushing, pulling, and lifting up to [insert weight limit, e.g., 20–30 pounds] as needed for mail and supplies.
  • Ability to work effectively in a fast-paced environment and handle multiple priorities.
